Town Hall & Memorial Hall Booking Rates and Terms

Room hire:

Use of tables and chairs is inclusive of room hire, numbers to be agreed at the time of booking . We aim to accommodate all layout requests.  However, please note that there are maximum numbers for specific layouts (refer to room capacities below). Additional items such as crockery, AV equipment & flip charts are available for use in the building. Please request such items when making a booking, as availability cannot be guaranteed if not pre-booked. Stage extensions or reductions incur a £50 cost and 4 weeks notice is required; such requests will be accepted if they align with existing bookings.

A full risk assessment is required for all corporate hires  (for templates: www.HSE.gov.uk)

If applicable a copy of public liability insurance must be provided to the Town Council prior the room hire. Please note: It is the room hirer’s responsibility to check if they need PLI/personal insurance & WTC recommends all hirers are covered.

An event form must be signed on the day of the event to confirm agreement with health and safety procedures.

Rates 2025/26:

*Please note: Bank Holidays, Christmas Eve & New Year’s Eve bookings are charged at peak rate tariff & are at the Clerk’s discretion

Capacities:

The Town Hall building has a maximum capacity of 200 including staff and performers and therefore the following room limits are imposed:

  • Main Hall – Standing or Theatre Style (standard stage 4m): 150. This figure represents a maximum 150 ticketed/invited attendees in the Main Hall.  There is provision for an additional 30 people (performers, stewards & staff) to be present in the main hall during performances, on the expectation that these have received a safety briefing (by the hirer) & have full understanding of the fire evacuation procedure.
  • Club Room – Standing:  40
  • Club Room – Seated (Theatre Style) 30
  • Ante Room – 15

Memorial Hall

  • Main Hall – Standing 100
  • Main Hall – Seated 50

All room limits in the Town Hall are dependent on the combined total which must not exceed 200, and are operated on a first come first serve basis.

Hiring the Hall

Main Hall

We have  two buildings with rooms to hire on an hourly basis, and the newly renovated Fanny Shaw’s Community Building (FSCB) which is operated on a key loan system.

Town Hall:- The Main Hall is large, suitable for a variety of uses – dance, exercise, large meeting space, wedding reception, family parties, musical events, etc, whilst other rooms – the Club Room, Ante Room, Council Chamber, are suited to smaller classes/groups. All rooms are available for hire during the day & evening during week days & weekends.

Memorial Hall:- the Hall & Kitchen are available to hire for meetings, parties, fayres, events and classes/groups, during the day & evening during week days and weekends.

Fanny Shaw’s:- Community building key available free of charge for use by groups such as: parents, schools, nurseries, scouts & not-for-profit groups holding events on the park.
